Our program enquiry form asks for your name, agency or company name, email address and program requirements. Target market and approximate group size are optional. The message also identifies the page from which you submitted the enquiry. Information you provide by email, telephone or other contact channels becomes part of the related correspondence.
Please provide only information needed to discuss the program. At the initial enquiry stage, do not send passport details, payment-card information, medical records or identifiable traveller lists. Describe accessibility or dietary requirements in general terms. If personal details are needed later, we will discuss the purpose and an appropriate way to provide them.
We use enquiry information to respond, understand your agency’s needs, discuss cultural travel programs and destination-partner options, and maintain records of the business discussion. Submitting an enquiry does not subscribe you to a newsletter. Newsletter subscriptions are handled separately; you can use the unsubscribe link in a newsletter or contact us.
ATS connects travel agencies, tour operators and destination partners. When your request requires a partner’s input, we discuss the introduction and share information relevant to that request. Please tell us if particular information must remain confidential before an introduction. You must have appropriate authority before providing another person’s personal information.
Website hosting, email, website maintenance, translation and related technical providers process information as part of delivering their services. Our website and mailbox use Hostinger services. Depending on the provider and destination partner involved, information may be processed outside Canada and be subject to local laws, including lawful access by authorities. Hosting and security systems process technical information such as IP addresses, browser details, request times and error logs to operate and protect the website. Cookies and similar technologies may support website functionality, language preferences and usage measurement. The website uses Weglot for language translation and includes Google Maps on itinerary pages. Embedded services can receive technical information when loaded and operate under their own privacy notices. External links, including social media and partner websites, take you to services with their own information-handling practices.
Enquiries are delivered to our business email account. Correspondence, technical logs and backups may retain copies. Retention depends on the purpose of the discussion, an ongoing business relationship, and applicable record-keeping or legal requirements. Contact us to ask about information held in connection with your enquiry or request deletion where appropriate.
We use technical and organizational measures to protect information, including HTTPS for the website and access controls. No website or email transmission can be guaranteed completely secure. Please avoid sending sensitive personal information through the enquiry form.
You can ask about our use or disclosure of your information, request access or correction, request deletion, or withdraw consent to further optional contact by emailing bita@authentictravel.ca with the subject “Privacy request.” We may need to verify your identity. Applicable legal exceptions or record-retention requirements may limit a request; withdrawing information needed for a service may limit our ability to provide it.
